AI Courier Software: What It Actually Automates in Your Agency (and What It Doesn't)

Every software vendor now claims to have AI. Most of what they call AI is a scripted chatbot that answers five canned questions and falls apart the moment a customer types “how much for a 55 inch tv to Bogota?”

If you run a courier or package forwarding agency — receiving packages in Miami and shipping them to Latin America — you already know where your time actually goes: the same questions, every day, at every hour. What are your rates. Where is my package. How does this work. Can I ship a laptop. Your team answers them one by one, and when nobody is available, the customer waits. Or worse, asks the agency next door.

This guide explains what an AI assistant can genuinely automate inside a courier operation, what it can’t, and what you should demand from any vendor before you sign — including us.

The difference between a chatbot and an assistant connected to your data

The word “chatbot” covers two very different things.

The first is a decision tree: press 1 for rates, press 2 for tracking. It answers what it was scripted to answer, in the exact words it expects. Useful in 2015, frustrating today.

The second is an assistant with tools — functions connected to your actual system. When a customer asks about a package, it doesn’t recite a generic paragraph about shipping times. There’s a detail most agencies miss. A large share of the questions that eat your day don’t come from existing customers — they come from people who haven’t signed up yet. Is this a chatbot with scripted answers?
